The building determines the assessment questions
A request for an occupied business unit differs from a request covering a whole managed building. Shared entrances, separately occupied spaces and proposed changes need to be identified so the intended assessment boundary is clear.
For example, an enquiry about an office within a larger property should explain whether it concerns the office alone or also shared areas. This is an illustration of scope, not a finding about any particular building.
A location name does not establish the condition of escape routes, the suitability of warning arrangements or the status of earlier recommendations. Those questions require building-specific information.
Responsibility can involve several parties
For business and other non-domestic premises in England, employers, owners, landlords, occupiers and others controlling premises can have fire safety responsibilities. Government workplace responsibility guidance (gov.uk) explains that people sharing responsibility must cooperate.
When preparing an enquiry, identify your role and the parts of the premises you control. Describe relevant relationships with a landlord, tenant or managing agent without including private contractual documents.
If the boundary between responsibilities is unresolved, say so. Sending a website enquiry does not transfer responsibility or settle how duties apply to the property.
Assessment findings and ongoing arrangements
The assessment considers hazards, people at risk and measures to reduce risks, alongside recording and review. Existing reports help explain what has already been considered, but their relevance to current conditions needs attention.
Evacuation arrangements are another building-specific consideration. The government’s evacuation planning guidance (gov.uk) addresses escape routes, emergency doors, lighting, training and people with mobility needs. Layout and occupancy affect those arrangements.
An assessment report, equipment servicing and work to address a recommendation are connected tasks with different scopes. In your message, explain which task you need to discuss and which work is already arranged.
Preparing a London premises enquiry
Use a short description of the property, its current use and the areas concerned. Mention an existing assessment, relevant alterations and your preferred timing. Unknown details can remain identified as unknown.
